Privacy Policy
This policy explains what personal information Serving Rota collects, why we collect it, and the choices and rights you have. We've written it in plain language because you shouldn't need a law degree to understand what happens to your data.

Who this applies to
Serving Rota is a tool that churches use to organise their serving teams. When your church invites you and you sign in, this policy covers the information handled about you. Your church is the data controller — they decide who serves and who is invited — and Serving Rota acts as the data processor that runs the software on their behalf.
What we collect
We deliberately collect as little as possible:
- Your name and email address — to identify you, sign you in, and show teammates who is serving.
- Your phone number — only if you choose to add it, and only used to send you WhatsApp serving reminders. You can leave it blank or remove it at any time.
- Your availability and serving assignments— the dates you mark as unavailable and the roles you're scheduled for, so the rota works.
- Basic technical logs — standard security and error logs generated by our hosting providers to keep the service running and safe.
We do not collect payment details, track you across other websites, use advertising cookies, or build marketing profiles.
How we use it
- To show you and your team the serving rota, availability, and swap requests.
- To send you a WhatsApp reminder the night before you serve — only if you have opted in and provided a number.
- To let your church's admins manage membership, roles, and schedules.
- To keep the service secure, diagnose problems, and maintain an audit trail of sensitive changes.
We will never sell your personal data, and we will never use it for advertising.
Who we share it with
Your information is only ever shared with the trusted service providers that make the app work, each acting under contract on our instructions:
- Supabase — secure database and authentication (stores your account and rota data).
- Vercel — hosting for the application.
- Twilio / WhatsApp — only your phone number and the reminder message, and only when a reminder is actually sent to you.
Other members of your own churchcan see your name and the roles you serve, as you'd expect from a shared rota. Members of other churches never can.
How long we keep it
We keep your information for as long as you are a member of a church on Serving Rota. If your church removes you, or you ask to be removed, your personal data is deleted or anonymised. Reminder delivery logs are kept only briefly for troubleshooting.
Your rights
Depending on where you live (including under UK and EU GDPR), you have the right to access the data we hold about you, correct it, delete it, or object to how it's used. You can update your name, phone number, and reminder preferences yourself in the app at any time. For anything else, contact your church's Serving Rota administrator, or reach us at the address below.
Children
Serving Rota is intended for use by serving-team members and coordinators. Where young people serve, their inclusion should be handled by the church in line with its own safeguarding policy and with appropriate parental consent.
